eBay accounting software for resellers: what you need it to do.
Accounting for an eBay reseller is more than a ledger. You need fees, what you paid, shipping, supplies and mileage tied to the right items. Here is what eBay gives you free, the three ways resellers keep the books, and what to look for in software.

What accounting means for an eBay reseller
A reseller's books answer a few plain questions. What did each item cost? What did it sell for? What did eBay take? What did shipping and supplies cost? What is left? Most general accounting software is built around invoices and a chart of accounts, and it does not know that one purchase receipt covers six items that sell separately. That gap is why many resellers end up in a spreadsheet.
This guide is information for planning, not tax or accounting advice. For tax questions, see the cost of goods sold guide and talk to a tax professional.

The records eBay already gives you
eBay says you can download reports and statements of your orders, fees and payouts in Seller Hub and reconcile them with your own records.1 Two matter most:
- Transaction report. A CSV for a date range that shows details such as transaction date, order number, payout date and fees. You can customize its columns, including the fee columns.1
- Financial statement. A monthly PDF summary of orders, refunds, payouts, fees and credits, available to download for 10 years from the date of issue.1
These record what eBay charged and paid. They do not know what you paid for the item. An order with several items takes more than one row, so the file is not one line per sale with a profit figure.1 eBay itself recommends consulting a financial advisor for financial reconciling.1
Spreadsheet, general accounting software, or a reseller app
| Question | Spreadsheet | General accounting software | Reseller app |
|---|---|---|---|
| Cost per item | A column you fill in | Usually tracked as a total, not per item | Built around the item |
| eBay fees | Pasted from the transaction report | Often imported as a bank or sales feed | Pulled from eBay for each order |
| One receipt, many items | A split you calculate | Not usually modeled | Varies by app |
| Setup effort | Low to start, grows with volume | Higher, and may need an accountant's help | Connect your eBay account |
A spreadsheet is a fine start at low volume. Our eBay sales spreadsheet template and inventory spreadsheet template are free. General accounting software suits a business that also needs payroll, invoices or an accountant's workflow. A reseller app suits you when the per item profit is the hard part.
What to look for in any tool
- Cost on each item. Profit needs what you paid, tied to the item that sold.
- Every eBay charge. Final value fees, ad fees and shipping labels, not only the sale price. The eBay fee calculator shows how they add up.
- Lots and shared receipts. A way to split one purchase across items, as in splitting a receipt across items.
- Mileage and expenses. Sourcing trips, shipping supplies and software costs kept with the rest. See mileage for sourcing trips.
- Export. A clean CSV or report your accountant can use, and a way to get your data out if you leave.
- Honest limits. A tool should say what it does not do, such as filing taxes.
Where Strooply fits
Strooply is a reseller app, not general accounting software. Once your eBay account is connected, sales and their charges sync from eBay, you enter what you paid once, and the app shows net profit per item and per period. Receipts can be scanned and linked to the items they paid for, and sourcing trips track mileage. You can import an old spreadsheet as CSV and download all your data as one CSV. It does not file taxes or replace an accountant. Details are on the eBay profit tracker, receipt scanner and inventory pages, and the eBay fee and profit calculator works out one sale for free.
eBay accounting questions
Do I need accounting software to sell on eBay?
No. Many sellers start with eBay's reports and a spreadsheet. Software helps when volume makes the per item cost and fee matching slow to keep up by hand.
Where do I download my eBay sales records?
In Seller Hub, under Payments and then Reports, you can create a transaction report and download monthly financial statements.1
Does eBay show my profit?
eBay's reports cover orders, fees and payouts.1 What you paid for each item is yours to record, in a spreadsheet or an app.
Check comps and estimated profit, then review the draft before you list
Strooply is an app for eBay resellers that identifies items from photos, shows live comps and sold-price estimates, drafts eBay listings for your review, and tracks costs and profit.
