eBay selling guide

How to calculate shipping costs on eBay.

You have three ways to set what a buyer pays for shipping: calculated, flat, or free. Calculated shipping has eBay work out the price from your package details and the buyer's location. Here is how each one works, what to enter, and how to check you are not shipping at a loss.

The short answer

Three ways to charge for shipping

In the Shipping section of a listing you choose how the domestic shipping charge is set. eBay's own advice lists the choices: a fixed charge for every buyer, calculated shipping that varies with the buyer's location, or shipping rate tables that set costs by region.1 You can also offer free shipping, which means building the cost into the item price.

  • Calculated. You enter the package, eBay calculates the charge for each buyer.
  • Flat. Every buyer pays the same amount you typed in.
  • Free. The buyer pays nothing extra and you absorb the postage in the price.

Strooply does not publish carrier rates or a public shipping rate calculator, so this guide sticks to what eBay itself lets you set. For the carrier price of a specific parcel, use eBay's calculator in the listing flow, described next.

Let eBay work it out

Calculated shipping, step by step

With calculated shipping, eBay updates the charge a buyer sees based on their location and on the package and delivery service details you provide.2 To set it up:

  1. In the Shipping section of your listing, select Calculated: Cost varies by buyer location.2
  2. Next to Services, select Calculate Shipping.
  3. In Package details, enter the package type, dimensions and weight.
  4. In Your details, enter your ZIP code and any handling fee.
  5. Optionally add a destination, then select Calculate shipping.
  6. Choose the shipping services to offer and drag them into the order buyers should see, then select Offer shipping services.

For an oddly shaped item, eBay suggests estimating dimensions by measuring a box the item fits in.2 That matters because the numbers you type drive the price. Weigh the item with its packing material, and measure the finished package, not the bare item. eBay makes the same point: allow for packaging when you check size and weight.1 Our shipping supplies guide helps you plan the box, mailer and filler before you list.

The calculator is also usable before you create a listing, to research what it might cost to send an item to different locations.2 eBay's help page does not say how it arrives at each service price, so treat the figure as eBay's answer for your inputs and compare it with the label price you see when you buy.

One price for everyone

Flat shipping and free shipping

Flat shipping is simpler: you type one amount and every buyer pays it. It works well when items weigh about the same, such as a shelf of paperbacks or small clothing in poly mailers. It goes wrong when a buyer across the country pays the same as one next door, and you absorb the difference.

Free shipping is a flat charge of zero. With the advanced listing tool, you pick a primary service under Domestic shipping first, and then the option to offer free shipping appears under Primary Service.3 eBay suggests considering building the cost of shipping into the item price so you can offer free shipping, and notes that free delivery may make a listing eligible for a free shipping message.1

Free shipping does not remove the cost, it moves it. The fees apply to the total amount of the sale, which eBay says includes the item price, handling charges and shipping costs collected from the buyer, with some exceptions.4 So price your item, add the shipping you expect to pay, and run the total through the eBay fee calculator before you decide.

Sample numbers

A quick worked check

These are sample numbers, not rates. Say a jacket sells for $40 and the package costs you $9 to ship. The buyer paying $40 plus $9 shipping and the buyer paying $49 with free shipping both leave you with $49 of sale to cover postage, packing and fees. If you charged a flat $6 for shipping and the label came to $9, the other $3 comes out of your pocket.

Work in this order: write down the label cost, add packaging, add the handling fee if any, then compare against what the buyer pays. If the label cost is only an estimate, keep a small cushion. A listing that looks fine at the price of a nearby ZIP can lose money when a distant buyer orders.

Price by region

Shipping rate tables

If a single flat price is too blunt, shipping rate tables let you set options and costs by domestic or international region. A buyer in New York can see a different rate from a buyer in Alaska.5 You choose how the table works: by item, by weight (a base cost plus an amount per pound), or by surcharge (a base cost plus an extra for remote regions, domestic tables only).5

Three details trip people up. A rate table only applies to listings set to Flat shipping, not Calculated or Local pickup.5 To offer free shipping to a region, enter $0 and do not leave it blank. A blank region falls back to the standard flat rate in your shipping policy.5 And a table's type cannot be changed after you create it, so you would need a new one.5 The rates in a table are the ones you enter, so you decide where they come from.

What you actually pay

Buying labels on eBay and passing on discounts

eBay lets you print shipping labels on eBay with standard paper and tape, and no special equipment.6 Label costs are charged as a supplemental service, with details on your monthly financial statement.4 eBay also lets you pass carrier savings to buyers, either as a flat discount off retail or daily rates or as eBay discounted rates for USPS, FedEx and UPS. It warns that if you offer these discounts and then buy a label at a carrier counter instead of through eBay, you could pay more than the buyer was charged.7

For protection against item not received claims under eBay Money Back Guarantee, use a carrier integrated with eBay and upload tracking within your handling time.3 See how long sellers have to ship for the handling-time side. For heavy parcels, read shipping shoes and heavy items, and for the broader USPS picture see eBay shipping for resellers.

Multi-item orders

Combined shipping

Combined shipping rules are created in Shipping Preferences and then applied to your listings, individually or through a shipping policy. After that, eBay adjusts the cost automatically when one buyer buys several of your items.7 The rule type follows the shipping type:

  • Flat rate shipping rule. Add a fixed amount, or subtract an amount, for each additional item. For example, charge $2 for each extra item when the first costs $5.7
  • Calculated shipping rule. Combine the item weights into one package, with an option to subtract a weight. It only applies to listings with both calculated shipping and combined discounts.7
  • Promotional shipping rule. A condition such as free shipping above a spend or a maximum shipping cost. It overrides your flat and calculated rules.7

If a buyer has several items from you and has not already received a shipping discount, they can select Request combined shipping in their cart. You can then send a combined invoice, if you allow invoice requests in Shipping Preferences. If they have already paid, you can send a partial refund of shipping instead.8

Combined shipping does not apply to every order. eBay lists items in the PSA Vault, local pickup, items bought with Best Offer, most Authenticity Guarantee items and some International Shipping categories as ineligible.8 If you ship several orders for one buyer in one box, eBay points to its Bulk Shipping Tool for a single label.8

In Strooply

Keep shipping inside your profit math

Strooply does not calculate eBay shipping charges, combined shipping rules or rate tables, and it does not offer a public carrier rate calculator. Those stay in eBay's listing flow. What Strooply does is the profit side: it identifies the item from a photo, pulls live eBay listings for the same thing, and its profit tracking accounts for shipping labels and return shipping once eBay data syncs. See how Strooply works, or work out a sale by hand with the eBay fee and profit calculator.

Check comps and estimated profit, then review the draft before you list

Strooply is an app for eBay resellers that identifies items from photos, shows live comps and sold-price estimates, drafts eBay listings for your review, and tracks costs and profit.
